Responsible to: Chief Executive Officer/Board of Management

Background:
You will be working for a passionate and ambitious organisation committed to tackling the causes and consequences of domestic abuse on women and children from black and minoritised communities. They are known in the West Midlands for dedicated, independent services that have been supporting the cause locally since 1979.

They offer a range of services across the West Midlands including refuge accommodation, outreach, floating support, IDVA, Forced Marriage & Honour Based Abuse Helplines.

Overall:

To provide smooth, seamless and proactive support to the CEO and Board of Directors and at all times representing the charity in a professional way. Providing financial, HR, planning and organisational support to the CEO and Board of Directors.

CEO:

  1. All aspects of PA/secretarial assistance for CEO as required
  2. Finance officer duties which include but not limited to balancing of budgets, auditing of files, qualify auditing, petty cash, ensuring not over / under spending
  3. Assisting with bid and project work as necessary
  4. Assisting CEO with preparation, design and distribution of reports
  5. Responsible for keeping policy review schedule up to date and liaising with CEO on updating of policies. Maintaining up to date electronic and hard copy of policies and procedures.
  6. Assisting with organising events and conferences.
  7. Working with/support the CEO with special fund-raising activities and applications
  8. Supporting relationship management with all stakeholders as necessary.
  9. Responsible for arranging all aspects of strategy days and team building days
  10. Attending and taking part proactively in Strategic Team meetings.
  11. Oversee HR administration in conjunction with Domestic Abuse Services Manager, Co-Ordinator and Chief Executive
  12. Dealing with recruitment
  13. Maintaining staff files

General:

  1. Act as first point of contact within the charity via email and telephone, with responsibility for onward direction of all contact
  2. Initial and external liaison for awareness raising talks, ensuring that talks are organised and followed up on
  3. Maintaining permissions and contract files
  4. Overseeing petty cash/invoices and preparing monthly financial returns to the accountant.
  5. Maintaining Asset Register and log of all donations
  6. Proofreading documents/publications
  7. Assistance with the safe working practices
  8. Maintain notice boards with up to date information
  9. Prepare and balance all payments and receipts, including monthly petty cash returns and prepare invoices to be paid
  10. To keep records for all grants and donations
  11. Keep records of all memberships and make payments on time to avoid cancellation of memberships.
  12. Undertake such other duties, which may incidentally arise, development or be assigned, commensurate with the post.

Person Specification:
· Experience within a finance officer role or similar

· Experience working within the charity sector

· Able to speak one of the southern Asian languages
