Key Responsibilities:
- Provide comprehensive administrative support to the office team, ensuring smooth day-to-day operations.
- Efficiently manage and process incoming job requests within designated timeframes.
- Update and maintain the CRM system with accurate data and job details.
- Coordinate paperwork, dispatching and receiving documents from engineers, and ensure all records are properly filed.
- Handle telephone inquiries professionally, taking messages and resolving general queries.
- Track job progress from start to completion, running regular reports to ensure deadlines and performance targets are met.
- Communicate updates to clients, keeping them informed throughout the job lifecycle.
- Place orders with suppliers as required, ensuring timely delivery of materials.
- Arrange accommodation bookings for staff when necessary.
- Manage general office duties such as filing, photocopying, and greeting visitors in a professional manner.
- Support the team with any additional tasks as required to contribute to the overall efficiency of the business.
What We’re Looking For:
- At least 1 year of experience in an administrative role (essential).
- DBS Enhanced – Essential
- Strong proficiency in MS Office and general IT skills.
- Experience using databases and maintaining accurate, detailed records.
- Highly organized with excellent attention to detail, ensuring all tasks are completed to a high standard.
- Outstanding written and verbal communication skills.
- Proven ability to handle multiple tasks, manage deadlines, and prioritize workload efficiently.
- Strong time management skills, with the ability to work independently under pressure.
- Flexible, enthusiastic, and able to work well within a team.
- Professional, confident, and friendly manner when interacting with clients and colleagues.
